Information we may collect

When you contact us or purchase our services we may receive your name, business name, job role, phone number, email address, service area, project requests, agreed work, correspondence, contract approvals, billing details, and invoices. When necessary for contracted website services, we may receive domain and business-profile details, authorized account access, content, files, and site analytics.

When you use our website, our hosting service may generate standard technical information such as IP address, browser/device data, site request logs, and security records. Necessary cookies and security measures may support the site’s basic operation.

If we introduce non-essential analytics, advertising tracking or similar tools, we will update this policy and provide any required notice or consent choices.

Please do not put passwords, banking details, health records, or sensitive information into ordinary contact forms. Where credentials are necessary, we will arrange an appropriate access method rather than asking you to email passwords.

Why we use it

We use information to answer inquiries and prepare estimates; enter into and administer agreements; design and maintain websites; manage approved local visibility services and client-owned business profiles; process billing and service notices; secure websites and detect abuse; document work completed; comply with tax and legal obligations; and resolve complaints or technical incidents.

We use personal information only for reasonable, disclosed purposes, with consent or another lawful basis available under applicable law. We do not sell personal information.

Business communications about your requested project or existing services are distinct from optional promotional marketing. If we send promotional email or text, we do so in accordance with applicable anti-spam requirements, including required identification, valid consent where necessary, and an unsubscribe mechanism.

When information may be shared

Authorized SSDM personnel and service providers may receive only information reasonably necessary to carry out services. Depending on the services and systems in use, providers may include website hosting, domain registration, business email, cloud document storage, invoicing/payment services, website forms, site security, search verification/analytics, and business-directory platforms.

Providers may store or process data outside British Columbia or Canada, depending on the actual service and configuration. In those cases, the information may be subject to the laws of the processing location. We use appropriate account access practices and make reasonable efforts to select reputable vendors.

We may disclose information with your instructions or consent, to authorized professional advisers, or when required or authorized by law. We do not give advertisers our customer contact lists for unrelated promotions.

Client websites and website visitors

A client whose website we build or host normally determines why its own customers’ information is collected and used, and is responsible for lawful content, collection notices, consent where needed, retention practices, and responses to its own customers. SSDM may support storage, security, forms, hosting, and limited access to that information solely to provide contracted services. SSDM retains its own legal responsibilities for any personal information it processes or controls.

Where a site handles health records, financial accounts, sensitive client data, special regulatory requirements, or extensive tracking, a separate privacy/security review and additional written service scope may be necessary.

Visitors to a client’s website should read that client’s privacy policy. This SSDM policy primarily concerns information collected by SSDM itself.

Security and access

We use reasonable administrative and technical measures appropriate to the information and risks involved, which may include access controls, account permissions, software updates, backups, protected connections, and secure handling of credentials. No electronic system is completely risk-free. We limit access to authorized personnel and providers as necessary for their roles.

If we learn of a security incident affecting personal information, we will investigate and take appropriate mitigation, client communication, and legal notification steps based on the circumstances and applicable obligations.

Retention and deletion

We retain personal information only as long as reasonably necessary for our services, security, invoices, applicable tax and legal requirements, and dispute resolution.

After an engagement ends, we arrange client website export/handoff as specified in the agreement; inactive hosted files may be removed after the stated transition period. Backup copies can take additional time to expire according to normal backup cycles; certain contract, payment and accounting records may need longer retention by law.

We securely delete, anonymize or restrict access to information when no longer needed, subject to legal preservation requirements. We will not promise instantaneous deletion from independent third-party platforms or lawful archival records.

Access, correction and questions

You may ask us what personal information we hold about you, request access or correction where permitted, withdraw optional marketing consent, or ask about our privacy practices. We may need to verify identity and may be legally required to keep certain records or withhold particular third-party information.

To contact SSDM about privacy rights or personal information, email admin@smokesignalsdigital.ca. For website service enquiries, email info@smokesignalsdigital.ca.

We will respond within the time required under applicable law and explain any lawful refusal or limitation. If you are dissatisfied with how your concern was handled, you may seek guidance from the Office of the Information and Privacy Commissioner for British Columbia at www.oipc.bc.ca.

Changes to this policy

We may revise this policy when our tools, services or legal obligations change. Material changes will be made available through our website and any additional notice required by law. The effective date above identifies the published version.
